Job description
The Executive Assistant provides direct administrative and operational support to senior leadership while assisting with payment coordination and financial tracking tied to executive initiatives, property activities, and client engagements.
In addition to traditional executive support responsibilities, this role helps ensure that incoming payments are received, documented, and processed accurately, and that approved payouts are coordinated in line with executive approvals and completed services. The role requires discretion, organization, and strong follow-through.
Training is provided. This position is ideal for candidates seeking exposure to executive operations, real estate workflows, and financial coordination.
- Provide day-to-day administrative support to senior executives, including scheduling, correspondence, and document management.
- Receive, record, and track incoming payments (accounts receivable) related to executive-led projects or client engagements.
- Coordinate outgoing payments (accounts payable) once approvals are granted, ensuring proper documentation and timing.
- Maintain organized records of invoices, receipts, approvals, and payment confirmations.
- Liaise with internal teams, property agents, and external partners to confirm deliverables tied to payments.
- Handle confidential information with professionalism and discretion.
- Support ad-hoc operational tasks related to real estate activities, meetings, and internal coordination.
- Escalate discrepancies, delays, or payment issues to executives promptly.
Experience & Qualifications
- High School Diploma or GED required
- Previous administrative or assistant experience is helpful but not required — training will be provided.
- Strong organizational and time-management skills.
- High attention to detail and reliability in following processes.
- Interest in executive operations, real estate, or business administration is a plus.
